HOW DIL UK OBTAINS YOUR PERSONAL INFORMATION

YOU GIVE IT TO US DIRECTLY

You may give us your information when you make a donation, attend an event, fundraise for us, sign up for information about our upcoming events and newsletters, when you have sponsored or partnered with us or otherwise give us your personal information.  We also may collect and process information acquired/provided through our website.

 

WHEN YOU GIVE PERMISSION TO OTHER PARTIES TO SHARE IT WITH US

Independent third parties may share your information with us because you have indicated that you wish to support the DIL Trust UK with your consent. Some third parties we work with include Just Giving and Global Giving.

You can check their Privacy Policy to understand how they propose to process your information. We may be able to obtain information about you if a fundraiser passes your details to us.

WHEN YOUR INFORMATION IS AVAILABLE PUBLICLY OR FROM EXTERNAL SOURCES

We may use information about you, which is publicly available such as on social media to gain a better understanding of you and to help us to improve our fundraising activities. This information could be combined with information we already have about your previous donations, your interests and lifestyle or socio-demographic information.

Information shared with us by third parties may depend on your privacy settings or you may have given permission for a company to share your data with a third party such as a charity. You may have given permission on social media platforms for us to access information from your social media accounts. Please review your privacy settings on social media.

We may obtain information about you from publicly available sources such as Companies House.

WHAT INFORMATION WE COLLECT

Any information that can be used to identify you is deemed personal information and includes your name, email, postal address, etc. If you choose to hear from us, we will need to hold this information about you. In some instances such as if you are a UK taxpayer and gift aid your donation, we must hold your name and address in our records for 6 years for HMRC inspection.

We do not collect information which data protection law identifies as sensitive.

HOW WE USE YOUR INFORMATION

How we use your information will depend on why you shared it with us.

We use your information to contact you about the services, events and information you said you were interested in, such as campaigns or fundraising activities. You will be able to choose how you want to be contacted and you can ask to be removed from our communications list by emailing officeuk@dil.org

Using profiling techniques we use your information to help us understand our supporter/donor base, to make appropriate and timely requests for funds and support based on what and how you wish to help. This helps us ulitise our resources effectively.

We use your information for internal administration such as accounting records and to let you know about changes to our services and policies.

We use your personal information to claim gift aid on your donations.

We use your information for research and statistical analysis to evaluate our performance.

DO WE SHARE YOUR INFORMATION?

We do not sell or transfer your data to any third parties for marketing purposes.

DIL UK staff and trustees may use your details for the purposes of marketing communications and financial administration. Occasionally we may share your information with our trusted third party service providers who will be commissioned to undertake marketing or financial auditing activities.

We may also share information with our financial and legal advisers for the purposes of obtaining advice and protecting our legal rights.

Protecting your personal data is important to us and we use strict procedures and security features to ensure only authorised persons have access. Data transmission over the Internet can never be 100% secure and we cannot guarantee the security of the information you share with us.

WHERE WE KEEP IT

We will ensure that all the personal information you supply is held securely, in accordance with the Data Protection Act 1998 and General Data Protection Regulation (2018) principles.

Your data is stored securely, both paper copy and/or electronically and is only processed by DIL Trust UK staff in the UK who have clear, legitimate reasons for seeing it. By submitting your personal data to us you agree to this storage and processing. We will take all steps reasonably necessary to ensure that your data is treated securely in accordance with this policy.

HOW LONG WE KEEP IT

Your information will be kept with us until you notify us that you no longer wish to receive any further information from us. We review our retention periods for personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations (for example the collection of Gift Aid). We will hold your personal information on our systems for as long as is necessary for the relevant activity or in accordance with your informed consent as required by law.

HOW WE KEEP YOUR PERSONAL INFORMATION UP TO DATE

We have a legal obligation under data protection legislation to keep the personal information we collects accurate and up to date. We keep your information accurate as follows:

  • By giving you the opportunity at any time to contact us to correct or change your information;
  • By using information publicly available to us;
  • If you contact our team we may ask you to confirm certain details;
  • When we receive undelivered mail or email.

WHAT ARE YOUR RIGHTS?

We want to make sure that your personal information is accurate and up to date. However, we do not assume responsibility for confirming the ongoing accuracy of your personal data.

If at any point you believe the information we process on you is incorrect you can request to see this information and have it corrected or even deleted. You have the right to access information held about you and we will provide this information within one month of the request.  Any unreasonable request may be subject to a fee to meet our costs in providing you with the details of the information we hold about you.
